Chau, your GoHighLevel email is close to being shut off. Here's what I found and how we fix it. About 45 minutes total. Please have it all done by Saturday 10/3.

You do the sign-ups and pay for the tools. I do all the building, for free. You don't need to understand the tech, just follow the steps.

WHAT I FOUND IN YOUR ACCOUNT

  • Last 7 days (Sep 18 to 24): 1,852 emails sent. 605 failed to send (25%). 212 bounced (11%). 1,640 delivered. 0 spam complaints, 9 unsubscribes.
  • Sep 23 to 25: 147 permanent bounces, a 10.87% bounce rate.
  • GoHighLevel's own rule: if bounces go over 5%, they suspend email sending for your account. Healthy is 0 to 3%.
  • Most of the bounces are dead addresses: "unknown recipient," plus Outlook's code 550 5.4.1, which means that address doesn't exist at that company.
  • Your weekly "Leads for GHL" lists (1,237 to 1,487 contacts each) get scored by GoHighLevel's own checker: 4 to 9% undeliverable plus 3 to 6% unknown, every week. They get mailed anyway.
  • Good news: gokenfosterstaffing.com is not burned. It's on 0 of 68 blacklists (MXToolbox check, Sep 25), and its SPF, DKIM, and DMARC records (the settings that prove the email is really yours) are set up. The problem is the lists.

You're at 11%. GoHighLevel shuts sending off at 5%. The suspension covers the whole account, so your calendar reminders and payment emails could stop too.

Why it's happening: all your cold email goes through one domain, gokenfosterstaffing.com, which you added Aug 25, 2026. It goes through GoHighLevel's built in email system on a shared IP (a sending address shared with other GoHighLevel users), with no inboxes behind it. GoHighLevel's own guide says cold email is "generally not recommended, especially for new domains."

You don't have to do cold email. But if you're going to send 1,500 a week, it has to be set up right, or it hurts the email your clients depend on.

STEP 0: STOP COLD EMAIL FROM GOHIGHLEVEL (this week, free)

  1. Tell Ela: no more cold sends from GoHighLevel, starting now.
  2. Keep GoHighLevel for clients, calendar, payments, and warm follow up.
  3. If you keep sending cold from GoHighLevel anyway, at minimum remove every "undeliverable" AND every "unknown" contact before each send, and keep bounces under 3%.

STEP 1: BUY 2 NEW DOMAINS FOR COLD EMAIL ONLY (10 min, about $10 to $15 per domain per year)

Separate domains keep your real email safe. Never use kenfosterstaffing.com (your real business email in Google Workspace) or gokenfosterstaffing.com for cold email.

Pick names close to your brand, like kenfosterteam.com or getkenfoster.com. I'll confirm them before you buy.

  1. Text me 2 names you like. Wait for my OK.
  2. Buy them at GoDaddy, Namecheap, Squarespace, or Cloudflare. Skip the extras.
  3. Find the button that adds another person to your account:
    • GoDaddy: click your name (top right) > "Delegate Access" > "Invite to Access" > pick "Products, Domains & Purchase"
    • Namecheap: "Profile" > "Share Access" > add the domain
    • Squarespace/Google: open the domain > "Permissions" > "Add"
    • Cloudflare: "Manage Account" > "Members" > "Invite" > role "Administrator"
  4. Type in my email: tim@timwinfreyjr.com
  5. Hit send/invite. Done.

STEP 2: SIGN UP FOR THE EMAIL INBOXES (10 min, $39/month)

The inboxes the emails get sent from. 10 inboxes, 5 per domain.

  1. Go to zapmail.ai
  2. Click "Sign up" and make an account with your email.
  3. Pick the "Starter" plan ($39/month, includes 10 mailboxes).
  4. Put in your card.
  5. STOP. Don't set anything else up. I'll do the rest.

STEP 3: SIGN UP FOR INSTANTLY (10 min, $97/month)

The tool that sends the emails and collects the replies.

  1. Go to instantly.ai
  2. Click "Sign up" and make an account with your email.
  3. Pick the "Hypergrowth" plan ($97/month). NOT "Growth" ($47). Growth is too small for your weekly list size.
  4. Put in your card.
  5. STOP. Don't connect anything. I'll do the rest.

STEP 4: SEND ME THE LOGINS (2 min)

Text me (don't email passwords):

  • Instantly: email + password

STEP 5: ANSWER 3 QUESTIONS (10 min)

  1. Who answers replies, and how fast? Same day is the goal. A reply that sits a day goes cold.
  2. Where do the lead lists come from? Does anyone clean them before sending?
  3. When you say 1,500 a week, is that 1,500 emails or 1,500 new people? Each person gets 3 emails, so this decides how many inboxes you need.

WHAT HAPPENS AFTER

  • I connect everything and warm up the inboxes (they start slow so Gmail and Outlook learn to trust them).
  • Plan on about 2 to 3 weeks before the first cold send, and about 60 days to reach full volume.
  • Every list gets cleaned before it goes in.
  • Ela's team keeps the same sequences and scripts.

WHY THIS SCALES

There are over a million realtors in the US. You won't run out of people. The only limit is how many inboxes you have.

Each block of 2 domains and 10 inboxes sends about 1,500 emails a week (10 inboxes at about 30 a day each, 5 days).

Total cost: about $136/month, plus about $25 a year for the 2 domains. One new client at 2 hours a week ($10/hr) is about $87 a month and covers most of it. One client at 5+ hours a week is about $217 a month and covers all of it and more.
